You paid for that lead. A mailer, a click, a cold call or a referral. Then it sat in an inbox for three hours. By the time someone called back, the seller had already agreed to meet another investor. This happens every day, and it is one of the most fixable problems in real estate investing.
What “speed to lead” means
Speed to lead is how fast you respond to a new lead. For motivated sellers, the window is small. Most sellers fill in more than one “we buy houses” form. The first investor to reach them gets the first real conversation, and often the deal.
Industry studies on web leads have found the same thing for years: leads contacted within the first few minutes are far more likely to turn into a conversation than leads contacted an hour later. You do not need exact numbers to see why. A seller who just hit “submit” is thinking about selling right now. An hour later, they are cooking dinner, or talking to someone else.
Where investors lose time
Slow follow-up is rarely laziness. It is usually the system:
- Leads land in an inbox that nobody watches after hours.
- Different sources go to different places. PPC in one tool, Facebook in another, direct mail calls on a cell phone.
- No clear owner. Everyone thinks someone else called.
- Follow-up stops after one or two tries. Most deals come from leads who were not ready on day one.
- “Not now” sellers get forgotten. They sell six months later, to someone who kept in touch.
What fast follow-up looks like
Here is the flow we build for investors in GoHighLevel:
- Instant text. Within seconds of the form, the seller gets a friendly text from a local number: “Hi Maria, this is Josh with ABC Homes. Got your info about 123 Oak St. Is now a good time for a quick call?”
- Instant email. A short note with who you are and what happens next.
- Team alert. Your acquisitions manager gets a text or app notification with the lead’s details.
- Call task. A task is created and the lead lands in the “New lead” stage of your pipeline.
- Follow-up sequence. If the seller does not reply, they get a mix of texts and emails over the next days and weeks. It stops the moment they respond.
- Long-term nurture. Sellers who say “not yet” move to a monthly check-in, so you stay top of mind.
Add missed-call text back too. When a seller calls and nobody picks up, GoHighLevel sends a text right away. A missed call becomes a conversation instead of a lost lead.
Why GoHighLevel works well for this
You can build pieces of this with a mix of tools. GoHighLevel puts it in one place: forms, funnels, pipeline, texting, calling, email, calendars and automations. Every lead from every source lands in the same pipeline, and every conversation lives on the contact record. That makes it easy to see who has been contacted and what was said.
It does cost more than simple tools. Plans start at about $97 a month, plus small per-message and per-minute fees. For most investors, one extra deal a year pays for it many times over.
Two things to get right
A2P 10DLC registration. US carriers require businesses to register before texting from local numbers. Skip it and many texts will not arrive. Plan a few days to a couple of weeks for approval.
Consent. Only text people who have given permission, and include clear opt-out wording. Rules like the TCPA carry real penalties. Add consent language to your forms and check your process with your own attorney.
Quick wins you can do this week
- Put every lead source into one place, even a single shared inbox, so nothing hides.
- Set a team rule: every new lead gets a call within five minutes during business hours.
- Write a short first text you can send in seconds.
- Make a list of every “not ready” seller from the last year and check in with them.
